Writing a buying requirement on paper

How to write a buying requirement suppliers can quote on

The seven details that turn “we need steel” into a requirement a serious supplier can price.

Most requirements that go nowhere fail for the same reason: the supplier cannot tell exactly what is being asked for. A vague request gets a vague answer, or none at all. These are the details that make a requirement quotable.

1. The product, named precisely

Use the name the industry uses. “Steel” is a family. “Hot-rolled coil, IS 2062 E250” is a product. If you are not sure of the exact name, describe what it is used for and attach a reference.

2. Specification or grade

Give the standard and grade where one exists (ASTM, EN, IS, JIS and so on), or the key parameters: purity, moisture, size, composition, count or melt flow. If you have a previous supplier’s data sheet that worked, share the parameters from it.

3. Quantity, and how it is split

State the total quantity and the unit. Then say whether it is one shipment, a trial order followed by regular volumes, or monthly call-offs. A supplier prices 500 tonnes once very differently from 500 tonnes a month.

4. Destination and delivery term

Name the destination port or delivery address and the delivery term you want, such as FOB, CFR, CIF or DAP. The term decides who arranges and pays for freight and insurance. Our Incoterms guide explains the common choices.

5. Timing

When do you need the goods on site? Work backwards: production time, inland transport, transit and clearance all take time. “As soon as possible” is not a date.

6. Packing and documents

Say how the product should be packed and which documents you need: certificate of analysis, inspection report, certificate of origin, phytosanitary certificate. Your destination’s import rules often decide this.

7. Target price, if you have one

A realistic target price helps filter suppliers quickly. If you do not have one, say so; the first quotes will establish it.

What not to include

You do not need to share bank details, account logins or sensitive personal information to submit a requirement. TP4 never asks for passwords or bank credentials.

When you are ready, request the product with as much of this detail as you have. Missing items can be filled in during follow-up.
